    Ok, so there was a previous thread, but so much has changed! So I thought it would be more appropriate to make a new thread for this seemingly new and entirely updated meet which could go down a treat!

    All information below will be updated on this page from now on.
    Ignore the last one.


    Trottingham Brony Meet-Up

    If you are viewing this, then you have been automatically invited to “The Trottingham Brony Meet-Up”…

    Well then, here are the details:

    When: April 7th, 2012
    Time: 11:30am – 6:30pm
    Meeting: Old Market Square, South Parade, Nottingham – NG1 2DT
    Venue: Hilton Nottingham Hotel, Milton Street – NG1 3PZ (7 min walk from meeting point)
    Capacity: 150 people (200 max.)
    Entry Fee: Hah! Well, you’ll be pleased to know it’s FREE!

    Extras:
    - A separate bar for those who want to wet their whistle.
    - Projector Use
    - Access to tables and seating
    - Tables can be used for merch stalls for those wanting to flog their hard work (if so, can you contact us in advance so that we know you are selling merch and that we can secure a table for you to do so for the meet).
    (We are still organising and coming up with more ideas, so expect updates of the extras in the near future.)

    Do your bit:
    - The bar at the venue will be selling drinks of all kinds, alcohol included. Please drink responsibly as we do have those of a younger age to consider as well. Have fun, of course, just know your limits.
    - Drinks, merch and such will cost money (duh!), so don’t forget to bring some along with you! We don’t want you to waste away!
    - Cosplay is welcomed, of course. Clothes are a must. No naked bronies!
    - Donate! Do you have a bit of change lying around? Well, to make 2013 even better, we ask of you to help us so that we can get that financial head start.
    - Be friendly! I don’t want to see any fights breaking out over that last Twilight Sparkle sat at the table.
    - Talk to people! It’s not a must, obviously, but there’ll be lots there, so if you see someone sat on their own, go socialise and make it a great meet that everyone will remember!
    - Please, try not to be late. I can understand traffic jams and train delays but if you’re local, know your distance and plan out your routes. We set off for the venue at 12pm. Still, if you are late, don’t worry too much, I or another member of the team will wait around for a bit.
    - This, might I say, is a pretty swanky venue, so please clean up after yourself if you drop any wrappings of any sort. We want to make an impression and keep it all nice and clean.

    Pre-meets and After-meets:
    The pre-meet is for those arriving early to either help set everything up, or because they have awkward times of arrival. This will be before the designated meet-up time of 11:30am.
    The after-meet is for those local to Nottingham and can leave later. We won’t put a lot of effort into the organisation with this and will probably discuss it at the meet itself.

    Wrap-up:
    We have been informed by the hotel that we need to be outta there by 6:30pm, no later. So please follow directions when prompted to pack up and leave. We will probably stop at around 6pm to give us time to say our good byes and wrap-up the evening.

    Put names to faces:
    We will have labels for those who want to write their name down, but if you could do that yourself it would save us a lot of time and would be appreciated! I will also try and get around everybody to have a chat!

    Transport:
    We have a Train Station conveniently placed not far away from the meeting point, so train travel is not a massive problem but the cost, but that’s for you to sort out. Car travel is welcomed of course; as there is a parking block just opposite the hotel (we will get prices soon). Bus travel is ideal for those closer to City Centre.

    That’s pretty much it, a lot of information, right? Well, a lot of effort has been put into this and we need to fill up those spaces, so please confirm your attendance A.S.A.P! An idea of numbers is always important!

    Update - 1st March 2012 additions:

    Main Announcements:
    - Prizes will be up for grabs! What those prizes are will not be said! All prizes will be displayed at the meet-up and competitions to match will be announced soon, so you know what to do to obtain some pony swag!
    - We need to prepare the space before the meet so, if anyone is interested in selling/trading/exchanging merchandise, PLEASE let me know. Tables are limited, and we will need notice if you want to set up a stall for fan-made content.
    - I can't stress enough about confirmations, so keep them coming!

    Secondary Announcements:
    - Attendance Raffle
    - Quiz
    - EPR Stream
    - Additional coverage of the event (i.e capture of the event from bronies)
    - A most peculiar surprise...

    Regarding those arriving via Train, we will have local helpers to gather you all up and lead you to the meeting point.
    So don't worry about getting lost.

    :omg: I am so there.

    Super duper punmped for this, sounds like it's going to be awesome! It's amazing how much you guys have done in such a short time, really well done to everyone involved. Looks like this could outdo the London meet! I'll be sure to catch as much as I can on film, I'll be bringing extra memory cards and batteries this time.

    Little suggestion, I'm sure you guys have done it already but I wanted to make sure. It's really worth going through the feedback thread on UKofE from the London meetup, as there were a load of great ideas put forward for improving the next meet and adressing the issues people had. I can't remember most of the ideas off the top of my head, but the main gripes were lack of leadership, too small and inaccessible a venue, and something which I personally missed: A dediacted art table. Seriously, 15 bronies gathered around Firenze's laptop was fun for a while, but it quickly got cramped and annoying. A 'artists corner' would really liven up the meetup and boost its profile if people know their favourite artists will be drawing live and maybe taking commisions.

    Just my two pence, I'm sure you guys have got most of it covered anyway. So excited, I can't wait!

    Another thing I forgot to mention: Music. Great hear hear we've got access to a projector, to me that means a livestream of the days episode but more importantly, PMVs. Music and videos will make all the difference, the best parts of the London meet were easily the episode, EPR's music and AcousticBrony's performance. Without them, it would have just been a room full of awkward people chatting, and everything would have fallen apart.

    I'd try and get some live performances going, whether it's a well-known group like AcB or just a tuneless karaoke session. Also see if we can get the guys here at EPR to send music our way and take requests from the meetup. That would set the meet apart and also get some much needed cred for EPR.

    Also (cue Scootaloo quote) "I'm liking this idea!".
    The art corner idea was considered myself in the form of "hey, I might draw some art pieces to show at the meet, or even sell!" but a specific table for this is an idea worth considering, so thank you for the input, Ronsta! :)

    I have taken a gander at the London Thread and have solved the venue problem simply by getting a large venue, complete with extra space for a bar area!
    Trust me, I have visited the venue for a formal meet with the hotel and it is pretty big!
    Lack of leadership? Well, I am soon planning a rough schedule for the meet and as organiser, I will certainly keep things in order with my team of voluntary members!
    I want to make this enjoyable for everyone, which is why I said that if you see someone alone, talk to them and make them feel welcome. I know how shy some people can be! :p

    Things will be updated, and nailing special guests is next on our list. We've messaged musicians and awaiting replies.
    We just had to get the venue sorted first!
    I was also intending on advertising EPR there. They deserve all the viewers they can get!

    Can't wait to meet you guys in person, I'll make it as awkward as humanely possible he he he.

    You probably won't be able to miss me, I'll be a guy in a black hat, white shirt and brony t-shirt. This'll be the first meetup that I've been to, but from the looks of the agenda list thing, it's going to be fantastic. I may show up in a Citreon type car though. Yeaaaah, sorry about that, I would much prefer to roll in in an Aston Martin :p

    I am anxious to see Poets famous White Shirt. As for me, I'll be turning up in cargo pants, plaid shirt, lucky stetson and douchebag shades. I'll be coming by train, hopefully meeting up with some guys at Paddington.

    What's the walk like from Nottingham station to the square? I'm fairly certain I can figure it out, but having someone meeting people at the station would be nice. Maybe post some signs pointing the bronies coming by car in the right direction too. Not sure how plausible that would be, bit it would definitely smooth things over and maybe even get the Nottingham public curious as to where all the signs are pointing :p

    VERY good question. This could have been a major issue at the London meet, but luckily Foxy was there to lend a hand. Thknfukly though it didn't come to that, everything was pretty lax.

    Still, that was a pub in Kings Cross, this is the Nottingham Hilton. No idea what they'll be like as far as minors are concerned. Merri? What say you of this?

    Honestly, this did not cross my mind, but nothing was raised at the venue meeting about them being concerned about those under 18.
    We have plenty of adults at the venue and 2 in our team of helpers, so this can be easily sorted and looked at. #
